Licensing

AutoFlow comes in two levels:

  • Free Tier – up to 2 published flows in each production environment (on-premises: in each production database), with every trigger and step except the Webhook trigger, and no time limit.
  • Licensed – unlimited flows and every feature, including the Webhook trigger.

Sandboxes and test databases are always free and unlimited. A Business Central Online sandbox, or an on-premises database registered as a test database in the AutoFlow portal, never needs a license – build and try out as much as you like there.

Licenses are bought and managed in the AutoFlow portal, where you also see the current prices.

License models

Your organisation licenses AutoFlow with one of three models. The model applies to everything your organisation runs AutoFlow in.

Per user

Business Central Online only.

You license the number of people with a full Business Central license (Essentials or Premium) in your production environments. Each person counts once, no matter in how many environments or companies they work. Team members, device licenses, external accountants, administrators, and applications that connect to Business Central do not count.

A per-user license covers all your Business Central Online production environments.

How the number is kept up to date: each production environment reports its full users to the AutoFlow portal once a day. At the start of each month, AutoFlow looks at the previous month: the highest number of users you had on at least 7 days is the number that counts. A short peak – a few days with extra users – does not. If that number is higher than your license, the license grows to match it:

  • with monthly billing, from your next invoice;
  • with annual billing, for the rest of your contract year, invoiced proportionally.

The number of users on your license does not go down during the contract; you can reduce it for the next contract year.

What is sent: AutoFlow sends no names and no email addresses. For each user it sends only a one-way code that lets the portal count the same person once across your environments.

Per company

You license a number of production companies in which AutoFlow is activated. Each activated production company takes one seat; companies in sandboxes and test databases don't.

When every seat is taken, activating AutoFlow in a further company is refused: the activation wizard tells you so and offers to open the portal, where you can add a seat. To move a seat from one company to another, deactivate AutoFlow in the company you no longer need – in AutoFlow Setup, choose Deactivate AutoFlow in This Company – or remove the company in the portal. Deactivating unpublishes that company's flows; they stay as drafts, so you can activate the company again later.

On-premises: when you get the license file in the portal, you name the companies it covers. If you open the portal from the activation wizard, the companies you have already activated are preselected. A license file can only be imported in a company it names.

Per tenant

One per-tenant license covers every production environment of one Business Central Online tenant, however many environments, companies, and users it has. On-premises, one per-tenant license instead covers all your production databases.

Licenses bought before the new models

Licenses bought as Starter, Premium, Ultimate, or Unlimited stay valid and grant unlimited flows until their renewal date. Before the renewal, the portal asks you to choose one of the license models above.
